Responsibilities
Maintain day-to-day bookkeeping: AP/AR, bank/credit card reconciliations, and general ledger accuracy
Process payroll and related filings in QuickBooks as necessary
Prepare monthly financial statements (P&L, balance sheet, cash flow) and management reports
Support month-end and year-end close, accruals/adjustments, and workpaper prep
Categorize and document transactions; maintain clean books and audit-ready files
Communicate proactively with clients to resolve questions and gather documentation
Manage a portfolio of multiple client books concurrently with clear prioritization and time management
Maintain strict separation of client files, logins, and workpapers; follow naming conventions and folder structures by client
Protect client confidentiality at all times; adhere to access controls, least-privilege principles, and secure file sharing
Track deadlines and SLAs by client (monthly close, reconciliations, filings) and communicate proactively on status
Document client-specific procedures and maintain up-to-date SOPs/checklists for each client
Assist with sales/use tax, 1099s, and basic tax data prep for CPA review
Help improve processes, checklists, and internal controls for quality and efficiency
Qualification
Required
1-2+ years of hands-on bookkeeping/accounting experience
Proficiency with QuickBooks
Solid understanding of GAAP basics, accrual vs. cash, and month-end close routines
Strong attention to detail, organization, and follow-through
Excellent client communication and service orientation
