Administrative Assistant

Responsibilities
Assist staff and management with creating, submitting, and tracking expense reports in Concur to ensure timely reimbursement and compliance with company policies
Monitor expense report submissions to ensure they align with departmental budgets, raising potential issues to the appropriate team as needed
Provide support for questions or troubleshooting related to the expense reporting process
Serve as the primary administrative support for designated staff and project teams
Coordinate complex domestic and international travel arrangements, including managing travel documents, visas, group travel, and itineraries
Prepare and process expense reports using Concur; monitor spending to ensure activities are conducted within established budgets and raise issues as needed
Oversee office operations, including supplies and problem-solving for administrative issues
Organize department files, contracts, NDAs, registrations, agreements, and other documents as required
Participate in the EIG Administrative Support Coverage Team to ensure consistent support across departments
Plan and manage logistics for department events, meetings, and customer visits, working closely with the SP Events team
Facilitate DARM audits and act as the DARM coordinator for the department
Proofread reports and presentations for high-level meetings for grammatical errors
Assist with onboarding for new employees, including orientation and office setup
Provide support for exiting employees, ensuring smooth transitions
Maintain department and project org charts, email distribution lists, and SharePoint sites
Manage quarterly access reviews for multiple SharePoint sites to ensure file integrity and security
Serve as the Department Safety Coordinator, monitoring SPITS safety training systems and ensuring compliance
Take on non-traditional administrative tasks and project work as needed, adapting to changing priorities and workload demands
Qualification
Required
Associate's degree in Business Administration or equivalent experience
3+ years of related administrative experience, preferably in a corporate environment. Previous experience with Corning systems and processes is a plus
Highly organized with strong attention to detail and the ability to prioritize tasks effectively
Excellent written and verbal communication skills; comfortable interacting with all levels of internal and external stakeholders
Exercise high discretion and integrity when handling sensitive or confidential information
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), PeopleSoft, Concur, and other relevant systems
Strong decision-making and problem-solving skills, with the ability to adapt to changing priorities and deadlines
Professional, approachable, and customer-focused; proven ability to work collaboratively within a team and build relationships
A self-starter who works productively and independently with minimal supervision
Preferred
Familiarity with corporate financial and purchasing policies and procedures
Strong networking skills within the organization and willingness to embrace new technology and processes
