Responsibilities

Answer, screen, and direct phone calls, emails, and voicemails; route messages to appropriate employees and respond to inquiries on behalf of the company
Greet visitors professionally, escort them through the office, offer refreshments, and ensure they feel welcome and comfortable
Serve as the primary front desk representative and face of the company at our Honolulu office
Complete filing, copying, scanning, and general administrative tasks as assigned
Order and maintain inventory of office supplies, snacks, beverages, and equipment
Process all incoming and outgoing mail, FedEx packages, and deliveries
Coordinate with building and office service vendors including pest control, security, phone systems, internet providers, and other contractors
Keep office spaces, conference rooms, and reception areas clean, organized, and well-maintained daily
Schedule resident pre-walk appointments before project start dates, prepare and distribute resident notices, process and track vendor invoices, pick up noise permits and other required permits, review pay applications and assist with related training, and provide additional support to field operations as needed
Run local errands for the company using personal vehicle (mileage reimbursed)
Enter and update information in the CRM system for marketing and sales teams, and support marketing events and initiatives
Plan, coordinate, and set up company events including annual end-of-year party, pau hanas, BBQs, and any other team gatherings
Work closely with management, clients, vendors, and team members at all levels
Other duties and administrative responsibilities as assigned

Required

5+ years of work experience in a professional office environment
Proficiency with Microsoft Office suite, particularly Outlook, Word, and Excel
Proficiency with NetSuite and CRM
Excellent organizational management skills
Superior verbal communication and personal interaction skills
Ability to successfully multi-task and independently manage tasks with minimal supervision
Self-motivated with a positive 'no job is too big or too small' attitude
Must have a personal vehicle to run company errands (mileage reimbursed)
Ability to lift and carry up to 40 lbs
Proficiency in English, written and spoken
Team player with strong interpersonal skills

Preferred

Bachelor's degree (BA or BS) in Business Administration or a related field
Prior experience in construction, property management, or related industries
Proficiency in other languages common in Hawaii
