ADMINISTRATIVE COORDINATOR - STREET ENGINEERING *
The City of Fort Smith is seeking an Administrative Coordinator for the Engineering Department. This role is responsible for maintaining financial and operational records, providing administrative support to the Director of Engineering, and assisting with various departmental tasks.

Responsibilities
Provide administrative support for Director and communicate with outside contacts as needed
Provide Director and key department staff with detailed reviews and analyses of financial records related to department expenses, construction payments and construction funds
Provide support for office administration as needed
Prepare personnel matters and maintain confidentiality
Prepare and assist documents associated with engineering reports, resolutions and ordinances for Board Meetings
Assemble construction contract documents
Prepare legal advertisements for bids, printing ads, news releases, and other printed materials relating to engineering department
Assist with preparation of 5-year CIP Sales Tax Program budget
Assist with department budget
Prepare and review pay estimates, change orders, project budgets and other documents associated with the Engineering department as needed
Responsible for maintaining files, records, reports and budget requests
Responsible for assigning new CIP project numbers, names, and account codes
Prepare budget analysis and request journal entries
Provide phone support on a daily basis
Prepare, obtain and process PO’s, LPO’s and RFP’s, travel reimbursements, deposit money, budget adjustments, and generate billing invoices
Prepare payroll reports as needed
Update the department’s web page
Order supplies for department
Sort & distribute mail
Provide phone support on a daily basis
Able to react to change in productive manner and handle other essential duties as assigned
Regular attendance is required
Qualification
Required
High School diploma or GED
Five (5) years administrative experience in a business office environment
Proficient in data entry and word processing as well as record maintenance
Experience in analyzing financial information that include advanced accounting skills
Must have experience with document filing systems and records management
Current (or able to obtain) Notary Public commission within the State of Arkansas
Must possess a valid driver's license
Preferred
Associate's Degree in Business Administration, Accounting, Finance or other related field
Seven (7) years administrative experience in a business office environment
