Responsibilities

Proposal Preparation & Submission
Provide pre-award administrative guidance and oversight to investigators and administrators seeking external funding
Review proposals for accuracy and compliance with sponsor and institutional policies; coordinate required internal approvals
Assist investigators with proposal development, budget preparation, and supporting documentation (e.g., Other Support, Current & Pending Support, biosketches)
Serve as institutional contact for sponsor submission systems (e.g., Grants.gov, NIH ASSIST, NSF Research.gov, eRA Commons)
Coordinate Just-in-Time requests, budget revisions, and pre-award compliance checks
Manage cost-sharing commitments and ensure accurate documentation
Facilitate proposal submissions to the appropriate entity in accordance with requirements
Support the review and negotiation of low-risk agreements such as FDP subawards and unfunded research agreements
Partner with OSR colleagues and institutional offices to ensure terms conform to policy and protect institutional interests
Serve as a liaison with external sponsors for pre-award agreement-related matters
Collaborate with Corporate and Foundation Giving and other partners to identify, promote and disseminate funding opportunities and engage the research community through outreach, briefings, and strategic communications, including website content and bulletins
Provide direction, procedural training, and assistance to investigators and administrators on pre-award policies, procedures, processes, and sponsor requirements
Participate in professional development activities, including sponsor webinars, conferences, and training opportunities, to remain current with evolving sponsor policies and systems
Contribute to continuous improvement of OSR pre-award workflows, policies, tools, and systems (including Huron and other electronic research administration systems)
Assist in onboarding and mentoring new pre-award staff, as needed
Participate actively in OSR team meetings and cross-unit collaborations to support coordinated research administration services
Provide coverage and backup support to other OSR team members during high-volume periods, absences, or staff transitions
Support OSR’s mission and service goals through collaboration and shared responsibility
Provide guidance and coaching to junior pre-award staff or other OSR new hires
Support onboarding and training of new pre-award team members by sharing knowledge of proposal development, sponsor systems, and institutional policies
Serve as a mentor and resource to support development of compliance, problem-solving, and proposal preparation skills
Assist leadership in identifying staff development needs and supporting succession planning within the pre-award team
Lead or contribute to small initiatives or process improvement projects that involve mentoring other team members
Leads the analysis, identification and preparation of new, non-competing/competing continuation grant applications and other progress reports
Collaborates with stakeholders and departments to coordinate complex initiative applications and contract submissions; meets regularly with the leadership to review funding needs and potential funding opportunities
Negotiates with funding agencies on behalf of the organization for research grants and contracts; informs investigators of current funding agency regulations and changes in administrative policy
Makes investigators aware of support opportunities, and reviews proposals for feasibility and compliance with regulations; assists investigators in developing proposals for internal as well as external support
Authorizes expenses on grants and contracts, below specified limits
Audits clinical research projects for compliance with internal and external regulations and feasibility
Compiles data for inclusion in and assists in the preparation of the Annual Report for External Support, published by the Office of Grants and Contracts
Serves as staff to various committees
Uses knowledge and skills to contribute to the development of functional objectives and principles to achieve goals in innovative ways. Problems addressed are of diverse scope and complexity ranging from moderate to substantial

Required

Bachelor's Degree required, or equivalent combination of education and related experience
5-7 years of relevant experience and progressive experience where team leadership was demonstrated, required

Preferred

4–6 years' experience in pre-award administration or research support
Demonstrated experience providing training or guidance to researchers and staff
Customer service experience in a higher education, research, or nonprofit environment
Experience preparing or reviewing budgets and proposals for federal, foundation, or industry sponsors
Familiarity with systems such as Grants.gov, NIH ASSIST, NSF Research.gov, eRA Commons, Cayuse, or Huron
Experience interpreting and applying sponsor, federal, and institutional policies
