Facilities Manager
International Baccalaureate is seeking a Facilities Manager to ensure that the infrastructures of the IB Global Centre are maintained and suitable for the organization's operational needs. Ensure the effective operation and upkeep of all IB Global Centres to provide safe, high-quality, and reliable work environments that support business continuity and employee experience
Lead the planning, delivery, and oversight of facilities projects and contractor engagements to ensure timely, compliant, and cost-effective execution of building and infrastructure works
Implement and govern global facilities policies and standards across centres to ensure consistency, regulatory compliance, and alignment with IB values and service expectations
Enable the smooth delivery of organizational events and activities within Global Centres by ensuring facilities readiness, safety, and operational support
Develop, manage, and control the global facilities budget to optimize cost efficiency, forecast future requirements, and deliver value for money
Ensure full compliance with statutory, regulatory, health, and safety obligations to mitigate risk and protect employees, assets, and organizational reputation
Own facilities risk management across Global Centres by identifying, assessing, and mitigating operational and environmental risks in line with IB governance frameworks
Lead space planning and utilization strategy to maximize efficiency, support workforce needs, and optimize occupancy costs
Plan and execute lease negotiations, renewals, and new site acquisitions to secure commercially sound agreements aligned with organizational growth and financial strategy
Oversee the lifecycle management of facilities assets to ensure appropriate acquisition, maintenance, and disposal in line with financial and governance controls
Manage facilities service contracts and supplier relationships globally to ensure service quality, commercial effectiveness, and operational reliability
Contribute to and maintain Business Continuity and emergency preparedness plans to ensure organizational resilience and rapid response capability
Support IB expansion into new locations and flexible workspace models by delivering fit-for-purpose facilities solutions aligned to operational needs
Drive sustainability initiatives within facilities operations to support IB’s Net Zero commitments and responsible resource management
Lead and develop facilities teams to build capability, accountability, and high engagement while delivering consistent service excellence
Qualification
Required
Proven leadership experience managing facilities operations within a large leased office environment (typically 20,000 square feet or above), including oversight of multiple service providers and complex operational requirements
Strong commercial and operational understanding of how facilities support organizational performance, employee experience, and business continuity
Demonstrated ability to translate business and workforce needs into effective facilities solutions, balancing service quality, cost efficiency, compliance, and risk
Proven capability to build effective relationships with internal stakeholders, landlords, regulators, and external service partners
Solid experience negotiating vendor and service contracts, managing supplier performance, and driving value for money
Hands-on experience across lease negotiations, space planning, building surveys, office design, refurbishment projects, and end-to-end facilities management (both hard and soft services)
Strong working knowledge of US facilities-related regulatory and statutory requirements, including workplace safety standards, building and fire codes, environmental obligations, and contractor compliance
Demonstrated track record of maintaining regulatory compliance and audit readiness across facilities operations
Strong knowledge of budgeting, forecasting, and cost control within a facilities or property environment
Proficiency in business systems (e.g. Microsoft 365), with experience in facilities management
