Responsibilities
Update, maintain, and communicate vendor contacts in Outlook
Maintain bid files on network using Windows applications and manufacturer software
Request, coordinate, and follow up on quotes from vendors utilizing project management software (Procore)
Maintain bid project tracking logs within CRM platform (Salesforce)
Research and contact account executives for project details
Provide limited filtering of incoming projects for bid
Must read and interpret construction documents, especially mechanical drawings and specifications
Perform quantity take-offs of construction documents when required
May perform limited pricing of simple take-offs
Focus on meeting deliverable deadlines
Document team practices and maintain training and procedure records
Organize and schedule internal and vendor meetings, and take detailed minutes
Train others to perform these duties in a full-time or back-up role
Maintain confidential statistical logs for estimating efforts and provide periodic monthly and annual reporting (if required)
Back-up to Bid Office Coordinator as needed
Other duties as assigned
Qualification
Required
Associate degree or equivalent combination of experience and education
Strong multi-tasking skills, self-starter, independent, team-oriented, hardworking, dependable, respectful, positive attitude, and proactive mentality
Quick learner, strong and clear communication skills, professional
Proficient in MS Office, Adobe
Preferred
4 years of administrative experience
Experience in Construction and/or HVAC industry
Familiar with blueprints and mechanical plans is a plus
Knowledge with Bluebeam is a plus
