Florida A&M University College of Law is seeking a Program Assistant to provide administrative support to faculty. The role involves managing clerical tasks, coordinating events, and serving as a liaison between students and professors.

Responsibilities
Receive and prioritize incoming work from and provides clerical assistance to one or more full- and part-time faculty
Type course materials, composes letters, memos, reports, forms, charts, or other documents from oral instructions or notes
Type tests and handouts
Copy and assembles materials, packets, etc. to meet frequent immediate and/or short-term needs
Perform receptionist and front desk duties
Serve as principal contact and source of information for students, staff, faculty, and external customers
Manage complex calendars, arranges for meetings, appointments and travel arrangements
Coordinate events, including conferences, seminars, and colloquia
Resolve daily problems and coordinates day-to-day activities in the faculty office suite
Monitor use of photocopier
Correct misfeeds, refills toner, and arranges for maintenance/repair
Prepare and posts faculty office hours schedules; and, contacts maintenance to resolve facility emergencies
Manage classroom attendance rosters, communicate instructor’s assignments
Order desk copies of books
Deliver or pick up classroom materials for instructors, etc
Prepare a variety of reports using the administrative computing system such as class lists, canceled class lists, schedules, etc. and accesses computer system to locate students
Assist students by providing information and directing them to the appropriate advisors
Convey emergency phone messages
Help locate or retrieve lost articles
Assist with class cancellations
Prepare urgent announcements and communicates information to the students
Alert appropriate Associate Dean and other departments
Collect, sort, and distribute incoming and outgoing mail
Place and receive telephone calls and ensures phone messages are delivered promptly
Support various faculty standing committees with logistical support with booking rooms, setting up remote meeting options, taking meeting minutes, etc.; and, may be asked to support logistics related to faculty recruitment as assigned by the Faculty Committee Chair
Qualification
Required
A high school diploma or equivalency and four years of related experience; or a combination of post high school education and experience equal to four years
Ability to communicate effectively, verbally and in writing
Ability to gather, interpret, report, and/or edit information
Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations
Knowledge of the concept, principles and practices of management
Knowledge of office practices, procedures, and etiquette
Ability to prioritize, organize and perform multiple work assignments simultaneously
Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices
Ability to establish and maintain effective working relationships
Preferred
Knowledge of office computer systems and other office equipment (copiers, fax machines, scanners, etc.)
Knowledge of Microsoft Word, Excel, PowerPoint, Outlook and Access, and other computer software
Knowledge of university policies, procedures, and requirements
Knowledge of state and federal laws and regulations related to the area of assignment
Knowledge of administrative support practices and procedures
Knowledge of proper grammar, punctuation, spelling, and composition
Skill in applying basic and advanced tools used in word processing applications
Skill in applying the tools used in creating and modifying spreadsheet and database applications
Skill in collecting, compiling, evaluating, and analyzing information from a variety of sources
Skill in coordinating diverse activities to ensure completion of projects and work assignments
Ability to understand, explain, and apply rules, regulations, policies, and procedures
Ability to verify the accuracy of information, resolve discrepancies, and follow up on outstanding activities
Ability to communicate effectively with faculty, staff, students, and the public
