Responsibilities
Schedule interviews and maintain candidate communication
Prepare offer letters, pre-employment screening packets, and ensure completion of background checks, physicals, and drug/alcohol testing in line with USCG/DOT requirements
Conduct and support new hire orientation for mariners and shore staff, ensuring proper documentation and credential verification
Maintain HRIS and personnel files, including mariner credentials, medical certificates, licenses, and training records
Ensure company policies and procedures are communicated and consistently applied across both shoreside and vessel-based teams
Serve as a point of contact for HR-related inquiries, escalating complex matters to HR Managers
Assist in organizing employee recognition programs, training sessions, and cultural engagement initiatives
Assist employees with benefits enrollment, changes, and questions regarding medical, retirement, and leave programs
Coordinate with payroll to ensure timely processing of new hires, transfers, and terminations
Perform other assignments as required
Qualification
Required
Pursuing a Bachelor's Degree in Human Resources or related field
0–2 years of HR, office administration, or related experience
Proficiency in Microsoft Office Suite
Good organizational skills and attention to detail
Ability to communicate effectively and provide customer service
Confidentiality and professionalism
Organization and time management
Willingness to learn and work under close supervision
This position will work in an office environment setting
Ability to use general office equipment
Prolonged periods of sitting at a desk and working on a computer
Must be able to lift up to 15 pounds at times
Preferred
Basic understanding of HR functions and employment laws preferred; willingness to learn maritime-specific compliance requirements
Experience with HRIS systems helpful
