Responsibilities
Set up and maintain employee and per diem employee (PDE) profiles for new hires
Track weekly PDE timesheets and activity reports; follow up on late submissions
Prepare bi-weekly PDE payroll reports and support payroll processing
Enter PDE and disability-related timesheets into internal systems
Track PDE working hours to support eligibility and compliance requirements
Perform monthly data entry and reconciliations in financial and resourcing systems
Support employee cost rate reconciliations and accrual reporting
Reconcile invoices against timesheets for contractors and vendors
Review work-in-progress (WIP), aged accounts receivable (AR), and open purchase order reports
Assist with depreciation, amortization, sales tax accruals, and billing-related reporting
Update resource management tools with employee availability and assignments
Maintain employee lists used for statements of work (SOWs) and pricing documents
Update client bill rate reports and agreement documentation
Assist with onboarding and offboarding in HR platforms (e.g., Worktango, Traliant, Access Perks)
Track PDE status changes and coordinate with People Operations as needed
Update employee data across systems, including Workday (as applicable)
Qualification
Required
1–2 years of relevant professional experience; agency, marketing, or professional services experience a plus
Strong Excel skills and comfort working with tracking and reconciliation spreadsheets
Highly organized with strong attention to detail
Ability to manage multiple recurring tasks and deadlines simultaneously
Proactive, reliable, and comfortable working cross-functionally
Preferred
Experience with HR, payroll, finance, or resource management systems (e.g., Workday, AQUA, Decideware, or similar) is a big plus
