Licensing & Finance Coordinator

Utah State Bar is seeking a sharp, adaptable Licensing & Finance Coordinator to serve as a primary resource for attorney licensing support while assisting with accounts payable and other finance operations. This role is both customer-facing and operational, ensuring licensing processes run smoothly and financial transactions are handled accurately and efficiently.

Responsibilities

Serve as the primary point of contact for attorney licensing questions via phone and email
Partner closely with the Licensing Manager to administer licensing processes, deadlines, and compliance requirements
Process payments accurately and efficiently
Research and resolve complex or sensitive licensee inquiries using sound judgment
Maintain accurate, confidential licensing records
Ensure compliance with Bar rules, policies, and regulatory requirements
Identify and recommend workflow or system improvements to enhance efficiency and service delivery
Provide operational backup and cross-training support for licensing functions as needed
Process invoices, vendor payments, and accounts payable transactions
Reconcile statements and maintain accurate financial records
Assist with bookkeeping tasks and monthly reporting
Support QuickBooks data entry and financial record maintenance
Collaboration with the Finance Director on finance and administrative projects
Provide cross-coverage for essential Bar functions during peak periods or staff absences

Required

Education/Experience: Associate degree OR 3–5 years of experience in accounts payable, accounting, operations, administration, and customer service
Proficiency with Microsoft Office, especially Excel
Strong critical thinking and problem-solving skills
Excellent customer service and communication abilities
High attention to detail and accuracy with financial information
Ability to manage multiple priorities and adapt quickly
Initiative and ownership mindset
Comfortable working independently while staying connected with a team
Professional discretion when handling confidential information
Exercises sound judgment
Responds quickly and thoughtfully to licensee needs
Looks for ways to improve processes, not just complete tasks

Preferred

QuickBooks experience a plus
Experience with databases, membership organizations, or compliance environments a plus
