Responsibilities

Serve as a primary point of contact for phone calls, emails, and general correspondence
Prepare, format, organize, and maintain documents, reports, and records
Perform accurate data entry and maintain internal databases or tracking systems
Coordinate travel arrangements and assist with expense reporting
Provide day‑to‑day administrative and clerical support to managers and team members
Ensure confidentiality and proper handling of sensitive and confidential information
Manage complex calendars for executives or senior leaders, ensuring efficient time management and minimal scheduling conflicts
Schedule meetings, appointments, and travel, including flights, transportation, and lodging
Prepare meeting agendas, materials, and logistical details
Coordinate conference calls and video meetings and ensure appropriate resources and technology are in place
Support executive correspondence and communication as needed
Provide light project coordination support for departmental and cross‑functional initiatives
Track project timelines, milestones, and deliverables to support on‑time execution
Maintain basic project plans, trackers, and status updates
Coordinate tasks, follow‑ups, and action items across stakeholders
Organize project documentation, shared files, and reference materials to ensure accuracy and accessibility
Assist with planning and facilitating project‑related meetings, including agendas, notes, and action‑item tracking
Proactively identify and communicate risks, delays, or dependencies to project leads

Required

Bachelor's degree or equivalent practical experience
Proven experience in administrative support, office management, or a related field
Experience supporting projects or initiatives in an administrative or coordination capacity
Strong organizational, time management, and prioritization skills
Excellent written and verbal communication and customer service skills
Ability to multitask effectively while managing competing deadlines
Proficiency in Microsoft Office Suite or similar productivity tools
Familiarity with basic project management concepts such as timelines, milestones, deliverables, and dependencies
Proactive, solution‑oriented mindset with strong attention to detail
