Responsibilities
Provide support to managers, employees, and visitors professionally and efficiently
Provide information and support to visitors by answering questions and requests
Answer and distribute phone calls to the appropriate individual
Organize and schedule meetings and appointments
Provide assistance and support for departments such as HR and Purchasing
Maintain office supply inventory by checking stock to determine inventory levels; anticipating needed supplies; placing and expediting orders for supplies; and verifying receipt of supplies
Develop and maintain filing systems and assigned databases
Maintain, sort, and distribute correspondence in a sensitive and confidential manner
Maintain contact lists
Produce and distribute correspondence memos, letters, faxes, and forms
Assist in the preparation of regularly scheduled reports and meeting minutes
Ensure operation of office equipment by completing preventative maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
Qualification
Required
Ability to read and write English
High school degree or equivalent
3 or more years of administrative experience
Strong computer skills in using Microsoft Office Suite (Excel, Word, Outlook) and comfort with database usage and management
Independent/self-starter
Ability to stay organized and pay attention to detail
Ability to react quickly to changing priorities in a fast-paced work environment
Effective communication skills via email, phone, and in person
Diligent follow through
