Responsibilities

Assess and prioritize a high volume of incoming tasks and requests based on urgency, impact, and resource availability
Ensure critical items receive immediate attention and are assigned appropriately
Escalate complex or high-risk issues to the Operations Director with a clear summary and recommended course of action
Develop and manage integrated project schedules to ensure all activities are aligned and accounted for
Proactively monitor timelines against key milestones, identify potential delays, and coordinate with stakeholders to mitigate risks
Serve as a central point of contact to keep all team members aligned on deadlines and deliverables
Assist in administering and monitoring project budgets with a high degree of precision
Track expenditures against the budget, forecast resource needs, and contribute to regular financial reporting
Identify and flag financial discrepancies or risks to leadership before they escalate
Document team processes, capture detailed meeting minutes, and track action items through completion

Required

5+ years of experience in a role requiring complex coordination, process management, and detailed planning
Demonstrated experience in a process-driven environment is essential. Relevant fields include operations, project coordination, logistics, life sciences, and healthcare administration
A Bachelor's degree in Business, Management, Science, or a related field is preferred. Degrees from disciplines requiring rigorous process control and systems thinking are also highly valuable
Meticulous Attention to Detail: An unwavering commitment to accuracy in data, documentation, and communication
Advanced Prioritization Skills: Proven ability to assess, rank, and manage competing tasks in a fast-paced environment
Systematic & Analytical Mindset: The ability to see how individual tasks connect to the larger project and operational ecosystem
Proactive Stakeholder Coordination: A talent for clear, forward-looking communication that keeps a multi-disciplinary team aligned and informed
Risk Identification: An instinct for identifying potential issues in schedules, budgets, or processes before they impact project outcomes

Must be a U.S. Citizen
An active DoD Secret clearance is required to perform this work. Candidates are required to have an active Secret clearance upon hire, and the ability to maintain this level of clearance during their employment
