Program Assistant - DDRP
The Harris Center for Mental Health and IDD is looking for a Program Assistant - DDRP to join their team. This role involves utilizing administrative and secretarial skills to support the Dual Diagnosis Residential Program, managing medical records, maintaining staff time and leave records, and responding to routine requests with appropriate judgment. The position interfaces with various stakeholders to ensure effective communication and data management within the program.

Responsibilities
Communicate and work with callers, patients, staff and visitors appropriately, demonstrating a professional, polite and culturally sensitive manner
Possess strong verbal and written communication skills
Collect and review data for errors prior to submitting for review or approval
Work collaboratively with Agency stakeholders to fulfill requests and/or share the required information
Provide new staff with orientation and obtains initial signatures for computer access for both The Harris Center and CSCD
Obtain the additional access required for on-site job responsibilities (i.e. med carts, lab access, and maintaining key counts) for designated staff
Maintain database for clinical activity within the program for reporting and auditing purposes (Changing Lives & Changing Outcomes data)
Maintain program databases and spreadsheets tracking admissions, discharges, census, and telehealth activity
Perform MAC duties as assigned, including notifying and training staff on how to complete the MAC survey
Record and produce minutes for departmental meetings
Coordinate duties with CSCD Office Support staff and maintains accurate accounting on the following: patient monetary deposits/trust funds and valuables; facility repairs and work orders; ordering office and program supplies; and inventory control
Compile and enter data for employee leave time in KRONOS (i.e. enter work schedule), Acts as a liaison with the agency regarding any KRONOS related issues
Complies with The Harris Center and HCCSCD policies and procedures and contractual requirements including punctuality, attendance and access to the facility
Responsible for overseeing the transfer of the patient medical records upon discharge from the program to the contractor
Other related duties as assigned
Qualification
Required
High School Diploma or General Education diploma
3 years of related work experience required
Demonstrate the ability to deliver professional customer service in a collaborative environment with many stakeholders
Knowledge of Microsoft Word, Excel, Access, Power Point and Outlook
Knowledge of HIPAA Privacy and Security Rules
Possess strong verbal and written communication skills and interact effectively at all levels within the organization
Possess critical thinking, problem solving and listening skills
Must have well-developed interpersonal, organizational and collaborative skills with a desire to provide a high level of customer service
Ability to maintain absolute confidentiality of all work-related matters
Preferred
Bachelor's degree (B.A.) from four-year college or university preferred
Correctional facility experience preferred
