Lead Scheduler - Air Force Language Training program

They seek a Lead Scheduler to manage scheduling and course management for an Air Force foreign language training program, ensuring effective matching of students with instructors and maintaining scheduling operations across multiple time zones.

Responsibilities
Utilize the government-provided LMS/scheduling application to access real-time updates on approved students and finalize registration and scheduling with qualified language instructors
Compile instructor availability and match students with instructors across languages, proficiency levels, availability windows, and time zones using the scheduling tool
Finalize scheduling no later than 45 calendar days after the client approves students
Manage Fixed, Flex, and OnDemand scheduling types, ensuring courses are scheduled to avoid consecutive days of the week unless no alternative is available
Send registration confirmation emails and coordinate welcome letters with client and Contractor instructional video links to scheduled students
Monitor student attendance and coordinate concerns with instructors and students; notify the client and student when attendance triggers are met (missed first session, two consecutive missed sessions, or risk of failing the 80% attendance requirement)
Maintain accurate student Status records in accordance with client procedures
Manage student-reported schedule conflicts, assessing rescheduling feasibility while preserving instructional continuity
Prepare and contribute to Monthly Status Reports, including course tables, grouping metrics, student throughput, and billing summaries
Escalate unresolvable scheduling, attendance, or behavioral issues to the Program Lead and client as required
Qualification
Required
MUST be Certified in Microsoft Word, PowerPoint, and Excel, or demonstrated equivalent proficiency
Three or more years of experience in education and training course scheduling
Three or more years of helpdesk management experience
Strong organizational skills with the ability to manage high-volume scheduling across multiple languages, time zones, and course types
Demonstrated ability to use web-based scheduling and data management applications
Excellent written and verbal communication skills
Attention to detail and accuracy in data entry and record keeping
Ability to legally work in the United States
Preferred
Prior Air Force or military experience a plus
