The Project Administrator will be responsible for invoicing, billing, collections, document control, and collaboration with project managers to ensure accurate financial management of construction projects.

Responsibilities
Prepare and submit accurate construction invoices, including AIA G702/G703 forms, progress billings, and change orders
Monitor AR aging reports, follow up on accounts and communicate with contractors to secure payment
Review and prepare lien releases (waivers) for signatures and ensure compliance with contract terms
Accurately post and reconcile daily cash receipts, checks, and ACH payments against specific job cost codes
Update customer files, manage retainer tracking, and reconcile AR sub-ledgers
Work with Project Managers to review billing worksheets and resolve payment discrepancies
Setup and maintain projects in accounting software
Attend weekly project meeting with team
Qualification
Required
Expert understanding of AIA (G702/G703) billing, tracking retainage, and managing project milestones
Full-cycle AR management, including invoicing, aging report analysis, and collections
Knowledge of generating and collecting conditional and unconditional lien waivers
Hands-on experience with Procore, Sage Intacct, Foundation, or GC Pay
Ability to use Pivot Tables, VLOOKUPs, and complex formulas for data analysis and reporting
Proficiency in Outlook (communication) and Word
High accuracy in managing high-volume invoices, compliance documents, and project files
Ability to work autonomously with strong judgment and initiative
Capable of resolving discrepancies in billing and collections
Strong verbal and written skills for interacting with project managers, clients, and subcontractors
