Receptionist/Facilities Coordinator (Contractor)
Shionogi Inc. is a company seeking a Receptionist/Facilities Coordinator to manage the Welcome Desk and assist with various facilities tasks. The role includes greeting visitors, handling office supplies, and supporting HR and Talent Acquisition functions.

Responsibilities
Greet visitors and assist with their check-in through the Envoy Registration System
Liaise with Corporate Communications and act as Operator for external calls
Purchase and maintain office and building supplies
Assist with incoming and outgoing mail, including receiving, sorting, delivering and sending of mail and packages
Help keep kitchen/meeting room areas clean and stocked with supplies
Other general office/facility duties as required
Act as a backup to HR Coordinator to:
Schedule candidate interviews (via Teams and in-person) and send confirmations
Arrange candidate travel logistics and manage candidate expense reports as needed
Post jobs in our applicant tracking system and on external job boards
Maintain ATS candidate records and keep data current
Act as candidate host and provide assistance with set-up of panel interviews, presentations and organized lunch
Gather and submit all Sunshine Act Data to Compliance department as needed
Assist HR Department as needed with special projects and ongoing support
Qualification
Required
High school diploma or general education degree (GED) and previous receptionist, facilities or related experience in a corporate office environment
Ability to prioritize tasks and handle numerous assignments simultaneously
Microsoft Office is required (Word, Excel, PowerPoint and Outlook)
Ability to be at onsite at our office 5 days/week required
Preferred
Experience in a corporate environment managing many tasks at once
