Sr. Manager, Speakers Program

Responsibilities
Speaker Bureau & Logistics Management
End-to-End Planning: Manage the planning and execution of live and virtual speaker programs, including venue selection, contract negotiation, vendor management, and audio-visual support
Speaker Engagement: Oversee speaker onboarding, training schedules, and compliance documentation
Field Liaison: Act as the primary point of contact for sales representatives regarding speaker bureau inquiries, program requests, and issue resolution
Operational Support: Manage the logistics of vendor systems, statements of work, and invoices
Compliance & Regulatory Adherence
Adherence to Guidelines: Ensure all speaker programs adhere to PhRMA, FDA, OIG, ACCME, and Sunshine Act guidelines
Auditing and Monitoring: Monitor program data and databases to ensure adherence to internal Standard Operating Procedures (SOPs). Ad hoc program attendance to for live and virtual events to monitor compliance and execution
Content Management: Work with brand to develop speaker decks, speaker training, and sales training content. Ensure Medical/Legal/Regulatory teams approve all content prior to execution. Ensure all communications, documents, and events are conducted with all required safety and fair-balanced materials
Communications: Lead development, Medical/Legal/Regulatory approval, and execution of all speaker bureau communications, invitations, and memos
Compliance and reporting: Track and reconcile attendee and speaker spend to ensure compliance with transparency laws. Lead reporting and business reviews with brand, sales leadership, and compliance to ensure adherence to business rules, speaker utilization, attendance, and compliant program execution
Speaker contracting: Oversee the process and execution of speaker nominations and renominations in line with business rules and compliance guidelines. Ensure speaker training and contract are executed in accordance with procedures and timelines
Strategy, Metrics & Technology
System Ownership: Utilize speaker bureau portals (e.g., Veeva events management and Absorb) for program tracking, attendee registration, contract status, speaker training completion, and reporting
Data Analysis: Develop and analyze KPIs (e.g., program attendance, speaker utilization, audience engagement) to provide actionable insights to brand teams and compliance
Budget Management: Monitor program spend against budget, ensuring compliance with moderate meal requirements and honoraria caps
Qualification
Required
Bachelor's degree in Business, Marketing, Life Sciences, or a related field
5+/8+ years of experience in the pharmaceutical or biotechnology industry, specifically in speaker bureau management, marketing operations, or HCP meeting planning
Experience managing vendors
Experience with Veeva platforms required
Experience managing or supporting a speaker's bureau required
Strong knowledge of OIG/PhRMA guidelines and Sunshine Act requirements
Cross functional influencer and network builder; attunes roles, responsibilities, and expectations of cross functional teams and stakeholders to cultivate innovations and deliver results; mentor/guides diverse stakeholders

Demonstrated ability to successfully manage multiple projects simultaneously and meet deadlines
Self-motivated with the ability to work comfortably in a fast-paced environment
Possess excellent communication skills both in verbal and in written form
Proficient in MS Word, PowerPoint, and MS Excel
Works with a sense of urgency, efficiency, and attention to detail
Ability to travel (approx. 10 - 25%) for on-site support at major programs, speaker training, and company meetings
Onsite work location 4 days a week in Burlington, Ma or Westlake Village, Ca
