Executive Affairs Administrator

Responsibilities

Provides seamless support to the CEO and other senior leaders, ensuring their time is maximized and aligned with organizational goals. This includes managing extensive calendars, organizing meetings, and coordinating travel events
Administers high-level projects and initiatives, providing operational support to leadership to facilitate communication and collaboration across departments
Contributes to the planning and execution of organizational initiatives, helping to align projects with the company’s vision and mission. This includes maintaining systems for tracking projects, commitments, and documents to ensure seamless execution
Supports communication and coordination with the board of directors and other key stakeholders, ensuring timely communication and follow-up on important matters
Administers company-wide engagement surveys, which include communication and providing detailed analytics of results
Supports senior leaders with their onboarding tasks such as ordering credit cards, business cards, company apparel, candidate expense reports relating to interviews and travel, and other miscellaneous tasks, ensuring timely completion
Supports with miscellaneous projects such as company-wide gift cards initiatives and holiday planning, ensuring effective communication, collaboration, and detailed accuracy is maintained
Assimilates and distributes a variety of weekly and monthly reports
Provides front desk support in welcoming visitors, verifying visit requirements, and ensuring a professional and welcoming environment

Required

Bachelor's degree in related field and 2 years of related experience, or 5 years of direct experience in Executive Administrator role
Experience in project management and executive support
Experience fostering an inclusive and collaborative environment
Tech-savvy, resourceful, and adaptable to evolving systems and processes
Meticulous attention to detail – repeated errors are not acceptable in this role
This is an onsite role at our corporate headquarters and requires occasional travel for meetings or company events
Demonstrates professionalism and provides proactive support to executives and senior management
Maintains discretion, integrity, and sound judgement in handling sensitive and confidential information
Ability to manage multiple competing priorities and schedules effectively
Good verbal and written communication skills with a polished, professional style to interact with various stakeholders
Builds cooperative working relationships to foster a positive work environment and facilitate collaboration across teams and external counterparties
Capability to address challenges and implement solutions efficiently
Fluent in all MS office applications, especially Excel, Word, Outlook, and PowerPoint
Ability to perform all essential job duties as outlined

Preferred

Advanced degree in related field
7 years of relevant experience, with a background in project management or executive support, preferably in the aerospace and defense sector
