Responsibilities

Duties to included - not limited to: Incumbent will be responsible for clerical and program support to Medical Service and may be asked to support specific sections within Medical Service as needed
Incumbent assists with patient grievances and customer service issues using his/her own judgement in the speedy handling of these problems
Incumbent is responsible for assisting with processing new staff appointments and termination of staff appointments
Duties include requesting key delivery and turn-in - updating mail groups and updating the intranet phone book
Incumbent will also function as a timekeeper for Medical Service
Responsibilities include maintaining precise and timely submission of the time and attendance records for Medical Service employees and posting time and attendance records - timecards - fee basis documentation and authorization documents associated with Medical Service employees via hospital computer system (PAID) including Title 38 - Title V - Hybrid - part-time - full-time - and fee basis employees
Incumbent will maintain the files and timesheets of part-time providers and coordinate correspondence for tour changes and the creation of new tours of duty within the time and leave record
Incumbent will perform any other miscellaneous duties as assigned by the Chief Medical Service - Administrative Officer/Health System Specialist and Management Analysts including labor mapping - organization charts and administrative supply inventory - mail distribution - scrubs and lab coat ordering - miscellaneous reproduction and distribution - and general typing
The incumbent will assist with relaying metric information to the Section Chiefs and advise of corrections that are needed
They will aide in adjusting bookable hours - clinic schedules - the completion of patient encounters - consult clean-up and assist the Section Chiefs with improving their metrics

Required

One year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization
Expertise in PMDB (or similar program) as evidenced by current or ongoing certification as a PMDB Facility Trainer or Master Trainer (or experience with public speaking and/or training proficiency)
Knowledge of VA - JCAHO - OSHA - and other guidelines associated with violence prevention - education - and training
Knowledge of the proper procedures for preparing forms as requested by various services and committees in order to meet their requirements
Ability to be a role model for quality customer service and conflict resolution including consistently communicating and treating customers (veterans - their representatives - visitors - and all VA staff) in a courteous - tactful - and respectful manner
Strong organizational and planning skills
Knowledge of the Talent Management System (TMS)
Knowledge of MS Word and Excel - or comparable word processing and data analysis software - to effectively complete and manage correspondence - tracking - reporting - and training-related initiatives
Strong verbal presentation and communication skills
Physical ability needed to instruct and train staff in all levels of PMDB
