Responsibilities

Build, implement, and actively enforce company-wide systems and processes
Ensure operational tools, SOPs, and workflows are consistently used across all teams
Identify and correct non-compliance through training, enforcement, or escalation
Act as the owner of how work gets done operationally
This role is responsible not just for creating systems, but for making sure they are followed
Establish and maintain a central operational hub for project tracking, documentation, communication norms, and ownership and accountability
Eliminate fragmented tools, side conversations, and undocumented workflows
Ensure all teams operate from a single source of truth
Own and manage a company-wide operational calendar
Coordinate and publish timelines for product launches, marketing campaigns, content schedules, key initiatives, and executive priorities
Ensure all teams plan and execute against the same calendar
Proactively identify and resolve timeline conflicts before they become issues
Serve as the architect and initial owner of the company project management systems
Design the frameworks, templates, dashboards, and workflows that enable effective execution
Define and standardize how projects run end to end, including: How projects are scoped, how timelines are set, how ownership is assigned, how progress is tracked, and how reporting and escalation function
Build project management infrastructure that will be used by current and future project managers, including a marketing project manager
Initially manage and run these systems directly, with the expectation that day to day project tracking will eventually be delegated once systems are proven, adopted, and enforced
Ensure consistency and continuity as project management responsibilities transition to dedicated PM roles
This role builds the operating system, not just operates within it
Embed directly within each department (for example Marketing, Content, Product, Clinical, Operations) to understand how work is actually executed
Partner with department leaders to map department execution, then build tracking that matches reality, mapping workflows, inputs and outputs, dependencies, and bottlenecks and failure points
Design and implement department specific tracking systems, KPIs, and reporting structures that roll up into company-wide visibility
Ensure every department has clear output expectations, defined ownership, measurable accountability, and a regular reporting cadence
Standardize accountability across the company while allowing for department-specific nuance
Make performance, progress, and gaps visible, objective, and actionable
Implement systems to track content production volume and output across teams
Establish clear expectations for required versus actual output
Create reporting that makes underperformance visible and actionable
Ensure content and operational output scale alongside growth initiatives
Work directly with the CEO to remove day-to-day project management from the CEO plate
Translate leadership priorities into structured execution plans
Ensure initiatives move forward without constant CEO involvement
Act as an operational extension of the CEO across the organization
Partner with marketing, content, product, clinical, and operations teams
Balance structure with speed in a startup environment
Drive clarity, consistency, and accountability across departments
