The Sports Health Patient Coordinator position will manage the administrative aspects of the Rutgers Sports Health Suite, including patient scheduling, check in/check out, and maintaining a welcoming office environment.

Responsibilities

Greet patients and visitors in person and on the phone, answer inquiries and provide information
Schedule and cancel student athlete appointments efficiently. Manage walk-in appointments. Coordinate yearly physicals for incoming and returning student athletes. Keep patient appointments on schedule by notifying providers of patient arrivals and potential delays. Manage calendars for Sports Health Office including team physicians and Behavioral Health providers. Make arrangements for meetings, conferences, and travel as needed
Manage the patient check in and check out process, ensuring all necessary paperwork is completed and accurate
Collect, verify, and update patient demographics and insurance information in the electronic medical record (EMR) system and practice management software
Create new patient charts for incoming student athletes. Scan all pertinent medical records into patient's chart
Collaborate with IT administration at RWJ Medical School and RWJBH to organize and implement changes to the EMR
Organize and maintain confidential health, medical, and personal files for all student athletes
Work with Rutgers University Records Center to archive medical records in accordance with university policies
Maintain administrative files and records in accordance with internal procedures
Answer and direct phone calls, manage mail, and assist clinical staff with chart preparation
Communicate and coordinate with RWJBH personnel as it relates to all administrative aspects of the operation of the Sports Health Office
Manage incoming and outgoing general communication on behalf of the Sports Health Office
Communicate with sports health staff and other health service providers in terms of office schedule, student athlete clearance, and missing patient information or insurance. Provide reports when requested. Within the bounds of confidentiality and other related matters of propriety, ensure that coaches, allied health care providers, and staff are aware of information related to athlete health matters
Ensure clear, concise communication with all parties, including student-athletes
Ensure the proper flow of communication by participating in departmental staff meetings, management meetings, and memos
Meet with supervisor on a regularly scheduled basis to review professional progress and related matters
Assist with coordination of health insurance benefits for the Rutgers University student-athletes, including insurance verification, claims management, and other duties as assigned
Assist with clinical responsibilities which may include performing initial patient evaluations, taking histories, implementing treatment/rehab plans, assisting with in-office procedures, managing durable medical equipment, patient education, and documentation, and other duties as assigned

Required

Associate degree or bachelor's degree is required
Proficiency with EMR systems, practice management software, and standard office equipment
Must possess excellent interpersonal skills, written and verbal communication skills, and organizational skills
Must be able to maintain a high level of confidentiality and understand HIPAA and other regulations that must be followed in the health care environment
Proficiency in Microsoft Word, Excel, and email
Ability to work independently and manage multiple processes simultaneously

Preferred

Master's in Athletic Training degree, or equivalent professional graduate degree
Experience in health care service environment is preferred, or similar service environment, to include basic secretarial skills and database experience
