Responsibilities
Greet clients, visitors, and vendors with professionalism and warmth, ensuring a positive first impression
Set up for in-office meetings and ensure clients are able to access virtual meetings
Manage multi-line phone systems, screen calls, and direct inquiries to appropriate team members
Handle front desk responsibilities including scheduling client meetings and managing incoming mail
Maintain and manage multiple advisors’ and the office’s calendar
Provide client support by addressing inquiries promptly and courteously, both in person and via phone or email
Follow proper office open and closing procedures maintaining a high level of security
Qualification
Required
Proven office management or administrative experience with strong organizational skills
Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Experience with multi-line phone systems and phone etiquette to handle calls professionally
Strong time management skills with the ability to prioritize tasks efficiently
Ability to communicate professionally and positively with clients
Ability to lift supplies 40lbs or less
Must be able to pass a background check due to the nature of the business in the financial industry; Understand and follow FINRA guidelines
