Operations Coordinator - Financial Aid & Scholarships

Responsibilities
Responsible for oversight and management of the Document Management System within the Financial Aid & Scholarships office, including Title IV-related student documentation, scanning and linking records, monitoring financial aid workflows, troubleshooting issues, training staff, and identifying areas for process improvement to support timely and compliant aid processing
Serve as records retention liaison, maintaining and monitoring all files, office manuals and handbooks
Greet and assist students, staff and faculty who need assistance from the 'back office' of Financial Aid & Scholarships
Answer phone calls and replying to email messages in a timely manner
Apply working knowledge of federal, state, and institutional financial aid policies to respond to inquiries from student support areas (e.g., Welcome Center, Academic Advising Center, Regional Centers), interpret documentation status, and route issues appropriately within Financial Aid & Scholarships
Conduct appeal intake and document evaluation within the Elluican CampusLogic system, including SAP, professional judgement, and special circumstance appeals, ensuring documentation meets federal and institutional requirements and is ready for FA Officer review, and follow up with students as needed
Administrative support including processing mail, managing calendars, initiating purchase requisitions, making travel arrangements, ordering supplies, coordinating meeting logistics, preparing expense reports, organizing office and campus space, etc
Assist with other ad-hoc financial aid processes (e.g. reports, data collection and review)
Support core financial aid operations and provide strong customer service and student advocacy as demonstrated through a positive attitude, approachability, adaptability, problem solving, and a desire to support student success and completion
Other duties as assigned
Qualification
Required
Bachelor's degree and 2 years of related work experience
Associate's degree and 3 years of related work experience
Strong organizational and time management skills, with ability to manage multiple tasks and priorities
Excellent interpersonal and communication skills, both written and verbal
Ability to maintain confidentiality and handle sensitive information with discretion
Attention to detail and accuracy in record-keeping and data entry
Preferred
Knowledge of financial aid regulations, policies, and procedures
Proficiency in Microsoft Office Suite and experience with student information systems (e.g., Colleague)
