Administrative Specialist - Human Resources/Organizational Development

The HROD Administrative Specialist supports a wide range of Human Resources & Organizational Development operational and administrative functions, ensuring accurate processing of contracts, invoices, and providing administrative support to management.

Responsibilities
Works with work unit staff to ensure accurate processing of contracts, invoices, and other financial items. Responsible for tracking contracts, agreements, vendor payments, and other critical processes
Provides administrative support to the MDs including meeting preparation, maintaining calendars, expense reports, travel schedules, and organizing departmental events, such as recurring team meetings. Works closely with the MDs and other internal and external parties to ensure well-coordinated schedules and compliance with Casey policies and procedures, including deadlines and accurate reporting
Assists the HROD team with event logistics, preparation and support for virtual and in person events. Maintains data related to development and training, including documentation of Continuing Education Units (CEU’s), course completions, and other development opportunities
Supports operational and administrative requests including responding to employment verification requests, ad hoc reporting, maintaining HROD intranet and internal resources, proactively drafting and posting regular updates of organization-wide announcements, maintaining and updating the internal job description library, and recruitment support such as reference checks and interview scheduling
Creates and maintains employee files. Regularly audits files for completeness and compliance with Casey policies and applicable laws, with guidance from HROD team. Works with field offices and other work units to ensure record keeping is aligned with local laws and licensure requirements
Develops and maintains work unit administrative processes, ensuring alignment with organizational policies and work unit goals. Provides guidance and assistance to team members on administrative processes as needed. Serves as a liaison to key administrative staff and departments, including finance, legal, and operations

Qualification
Required
A Bachelor's Degree and a minimum of 3-5 years of administrative support experience, at least 3 of which have been providing high-level administrative support. Relevant experience may be substituted for education
Discretion, confidentiality, and good judgment are required
Strong organizational and diplomacy skills, critical thinking, and effective written and verbal communication skills are needed
The ability to work autonomously, exercise independent judgement, and demonstrate a high level of professionalism and confidentiality is required
Strong software proficiency is required, particularly in Microsoft Office and SharePoint
Excellent attention to detail in all areas of work
Proven success in working in a diverse, multicultural environment is required
Ability to perform effectively in high pressure and stressful work environment
Ability to manage stress and self-care
Ability to work onsite full-time to meet the collaborative responsibilities that are essential for position
Regular and reliable attendance is required
Physical requirements include the ability to lift and reach for light objects; ability to type and work at a computer for extended periods of time as a primary job function
Ability to protect the confidentiality of sensitive information by learning and following all relevant policies and protocols and using sound judgment in the handling and sharing of that information
Local travel as well as occasional out-of-town travel may be required
Driving on Casey business may require use of personal vehicle; adherence to vehicle safety guidelines and qualification for insurance is required
Preferred
Experience in a nonprofit or HR environment preferred
Experience with Learning Management Systems and / or HR Information Systems is preferred
