Accounts Payable Clerk

The Accounts Payable Clerk is responsible for the accurate and timely processing of invoices, payments, and vendor records, while supporting daily accounting operations and ensuring compliance with relevant regulations.

Responsibilities
Process and code high-volume vendor invoices, matching purchase orders and receiving documents
Review invoices for accuracy, approvals, and proper GL coding
Maintain vendor files, W-9s, and ensure compliance with 1099 requirements
Prepare weekly check runs and electronic payments
Reconcile vendor statements and resolve discrepancies promptly
Coordinate with Purchasing, Receiving, and department managers regarding invoice issues
Assist with month-end closing, including accruals and AP reconciliations
Maintain organized AP records in accordance with company policy and audit standards
Respond to vendor inquiries in a professional and timely manner
Support internal and external audits as requested
Qualification
Required
High school diploma or equivalent required
1–3 years of accounts payable experience
Knowledge of accounting principles and AP best practices
Proficient in Microsoft Excel and accounting software
Strong attention to detail and ability to meet deadlines in a fast-paced environment
Excellent organizational and communication skills
Preferred
College coursework in Accounting or Finance preferred
Hospitality or hotel experience strongly preferred
Experience with hotel accounting systems (e.g., Maestro, M3, BirchStreet, or similar) a plus
