Accounting & Office Assistant
JLV Construction is a recognized builder in the region specializing in high-end residential and commercial projects. They are seeking an Accounting & Office Assistant to provide key support for the Accounting team and overall office operations, focusing on processing invoices, maintaining records, and ensuring a smooth office experience for employees and visitors.

Responsibilities
Receive, review, and accurately enter vendor and subcontractor invoices into QuickBooks and construction management software
Match credit card transactions in QuickBooks with expense reporting software to ensure correct coding to job and accounting codes
Communicate with vendors to obtain missing documentation or correct invoice errors
Assist with coordinating check preparation and vendor check pick-ups
Support the collection of information for audits
Maintain organized physical and digital accounting and HR records
Answer and route accounting-related phone calls and emails
Provide general accounting administrative support as needed
Welcome visitors and serve as a first point of contact for the office
Receive, sort, and distribute physical mail
Ensure the office and meeting rooms are clean, organized, and presentable
Support internal events and employee engagement initiatives (supplies, catering, setup)
Order and manage office supplies, stationery, and cleaning supplies
Manage inventory for new hire welcome kits and company merchandise for clients
Assist accounting leadership with calendar coordination and meeting preparation
Support basic tracking and follow-up of action items
Coordinate travel arrangements and registrations for events as needed
Qualification
Required
Internship or 1+ year of relevant work experience
Excellent attention to detail and organizational skills
Strong customer service orientation, with the ability to interact effectively with employees, vendors, subcontractors, and visitors
Clear and professional interpersonal and communication skills
Effective time management and ability to multitask in a fast-paced environment
Willingness to engage in continuous learning and skill development
Preferred
Background or studies in accounting, business administration, or office management preferred
Experience with Google Workspace or Microsoft Suite
Familiarity with QuickBooks is a plus
