Student Records Specialist
Lakeshore College is focused on providing quality education and support to its students. The Student Records Specialist is responsible for the coordination, maintenance, processing, and verification of accurate information related to all student records while ensuring compliance with policies and enhancing service efficiency.
Education Management
Responsibilities
Serve as a resource for the fair and consistent interpretation and implementation of policies relative to Student Records (ex: Family Educational Rights and Privacy Act – FERPA, add/drop policy, etc.)
Process transcript requests, information requests, reports, and surveys for outside agencies as allowed by campus policy
Execute student course audits, drops, adds, and transfers and perform necessary follow-up
Collaborate with division/department staff regarding changes to student schedules
Process course substitutions, transfer credits, advanced standing, course test-out and credit for prior learning
Work with other Wisconsin Technical College System (WTCS) schools in carrying out the shared program agreements for tasks related to grade reports/transcripts, background check, and general information sharing
Retrieve, process, document, and scan all incoming external transcripts
Maintain credit transfer database to include college, military, high school/dual credit and credit via articulated agreements
Maintain the transfer website to include articulated agreements for partner colleges and universities
Discontinue or admissions revocate student plans for career clean up or upon requests from student update forms
Process documents in the Records workflow in ImageNow
Complete forms submitted in Dynamic Form (ex: official name change form)
Serve on the Graduation Celebration Event planning committee to help with organizing, planning, and execution of activities and actions. Attend the Graduation Celebration Event (two times a year)
Attend and participate in professional development opportunities at the College
Qualification
Required
Associate degree from a regionally accredited college or university in a related discipline required
Two to three years' relevant occupational experience required
Knowledge of Lakeshore's mission, vision, and strategic direction
Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook, etc.)
Excellent written and verbal communication skills
Strong organizational and time-management skills
Effective interpersonal skills and customer service skills
Strong critical thinking and problem-solving skills
Adapt quickly to new and changing technology
Perform work accurately and thoroughly, with a high level of accountability and attention to detail
Work independently, as part of a team and/or with minimal supervision
