Responsibilities

Coordinate with PIF’s development consultant to draft grant proposals, letters of inquiry, and related materials, drawing from existing content and coordinating with program staff as needed
Conduct prospect research and prepare briefing materials and background research to support meetings between PIF leadership and funders
Coordinate logistics and follow-up for funder meetings, including scheduling, notes, and next steps
Coordinate with program staff to ensure grant deliverables are tracked and reported in a timely manner
Draft narrative grant reports with input from program staff and coordinate on any financial and governance materials for funders with the fiscal sponsor
Support the Executive Director in maintaining relationships with funders through regular communication, support in meetings, and attend funder meetings as needed as fundraising liaison for PIF
Support the transition of institutional knowledge and systems from consultants to internal staff over time
Ensure continuity and organization across fundraising efforts, allowing for roles to evolve between this role and consultant as the transition of institutional knowledge and systems takes place
Assist in the selection, implementation, and day-to-day management of PIF’s fundraising CRM
Build and maintain a centralized database of institutional funders, prospects, grants, and contacts
Ensure accurate data entry, tracking, and reporting
Generate fundraising reports, pipelines, and summaries to support internal planning and decision-making
Coordinate with the fiscal sponsor and finance team on donation tracking, reconciliation, and acknowledgments
Support early exploration of individual and major donor fundraising strategies, in partnership with staff leadership and consultants
Assist with donor/prospect research, tracking, and outreach preparation
Support the planning and execution of individual giving campaigns and appeals
Create and maintain calendar and tracking tools for donor follow-up and stewardship
Coordinate with Communications staff and development consultant on fundraising-related messaging and outreach
Build working knowledge of PIF’s programs, priorities, and funding needs to support fundraising communications
Attend relevant internal meetings to stay informed of organizational developments
Develop and maintain basic development processes, documentation, and operating procedures
Prepare fundraising-related data and reports and materials for leadership and governance meetings
Stay informed about best practices in institutional fundraising and donor management
May manage temporary interns or fellows as needed
May manage outside vendors/consultants as needed

Required

Five or more years of fundraising experience, specifically in grant writing and interfacing with institutional philanthropies, in the nonprofit, political, or social justice sector
Strong project management and coordination skills
Experience working with both internal colleagues and external partners who may have divergent priorities
Strong commitment to PIF's mission and to advancing dignity, care, and access for immigrant families
Collaborative, proactive, and action-oriented working style with a strong service mindset
Demonstrated integrity, sound judgment, and respect for confidentiality
Excellent written and verbal communication skills
Self-starter able to manage multiple priorities, meet deadlines, and work effectively under pressure
Ability to build respectful, productive relationships with community members, partners, advocates, and other stakeholders
Exceptional project management skills and an 'architectural mindset' to create and implement new systems and processes

Preferred

Experience supporting individual giving or major donor programs
Familiarity with fundraising CRMs and donor databases
Experience working in immigration rights, health equity, or anti-poverty movements
