Accounting Administrator

Colleague is a company seeking an Accounting & Operations Administrator to support its financial, administrative, and day-to-day operations. The role involves maintaining accurate records, streamlining workflows, and ensuring compliance with internal policies, while also contributing to client support and HR coordination.

Responsibilities

Compile, analyze, and assist in preparing financial data and management reports
Account Receivables ,Based on work performed accurately invoice all clients in a timely
Accounts Payable :PO Generation & Tracking ,Accurately coding all materials ordered for each job ,Submit AP report weekly to VP of Finance for review
Provide support for recurring accounting cycles, including month-end and year-end tasks
Create and manage client billing, verify agreements, record receipts, and assist with collections follow-up
Review and process supplier invoices, manage purchase order tracking, and prepare accounts payable summaries
Maintain professional communication with customers, vendors, and internal staff via phone and email
Support the preparation of proposals, service records, and operational documentation
Coordinate administrative aspects of employee and client onboarding and separation, including documentation control
Organize and maintain personnel files and assist with new hire paperwork
Support H-2B visa administrative processes by gathering, tracking, and coordinating required documentation
Identify opportunities to enhance accounting workflows and improve operational effectiveness

Required

Associate degree in Accounting, Finance, Business Administration, or related field required; Bachelor's degree a plus
1–3 years of experience in accounting, finance, or administrative support roles
Strong attention to detail and excellent organizational abilities
Clear and professional written and verbal communication skills
Ability to work independently, prioritize tasks, and meet deadlines
Experience using accounting software and Microsoft Office applications
Fluency in both English and Spanish required
