Responsibilities
Serve as a central coordinator for multiple ongoing research projects, ensuring alignment of timelines, deliverables, and documentation across basic, translational, and clinical efforts
Track project milestones, identify potential bottlenecks, and proactively communicate status updates to project leads (Dr. Cruz Rodriguez and Dr. Deininger)
Facilitate coordination between laboratory-based research, clinical collaborators, and external partners to support efficient project execution
In conjunction with the pre-award team, provide administrative and organizational support for grant submissions and progress reports, including NIH and foundation awards in coordination with institutional guidelines
Assist with preparation and formatting of non-scientific grant components (e.g., biosketches, CVs, resources, facilities, letters of support)
Support figure preparation, organization, and editing for grant submissions in collaboration with scientific leaders
Track grant deadlines, reporting requirements, and funding periods across multiple awards
In conjunction with the pre-award team, assist with industry contracts and sponsored research agreements
Coordinate manuscript submission processes, including journal-specific formatting, submission portals, revisions, and correspondence
Track manuscript timelines, reviewer comments, and revision deadlines
Assist with preparation of non-scientific submission materials (cover letters, author information, disclosures)
Support development and organization of clinical trial related documents and protocols in collaboration with clinical investigators
Coordinate interactions with clinical teams and regulatory offices as needed for translational research projects
Coordinate procurement and tracking of primary human specimens from biobanks, collaborators, and external sources
Manage documentation related to sample acquisition, including MTAs and data use agreements, in coordination with institutional offices
Maintain organized records of sample requests, approvals, costs, and availability
Assist with coordination of patent applications and invention disclosures, including document preparation and communication with technology transfer offices
Track timelines and documentation related to intellectual property submissions
Coordinate management and tracking of transgenic mouse colonies at a project level (breeding plans, genotyping analysis, colony usage, timelines), in collaboration with laboratory personnel
Assist with planning and documentation related to animal resource allocation across projects
In conjunction with the post-award team, assist with monitoring laboratory budgets, expenditures, and financial projections in collaboration with departmental administrators
Track costs associated with projects, contracts, samples, and external services
Support preparation of financial summaries for grants, projects, and leadership review
Organize and facilitate meetings with internal lab members, institutional partners, and external collaborators
Prepare agendas, coordinate materials, document action items, and ensure follow-up on assigned tasks
Maintain organized records of meeting outcomes and project decisions
Maintain strong communication channels with Dr. Deininger and Dr. Cruz-Rodriguez, by providing structured project updates, consult on strategic decisions, and effectively coordinate team activities by understanding project objectives and individual roles
Qualification
Required
Masters degree in a relevant scientific discipline is required
5-6 years of experience in blood-related or leukemia-related research laboratory experience is required
5-6 years of experience in research administration is required
