Human Resources Payroll Specialist

Responsibilities
Verify that new hire paperwork is complete, accurately entered, and processed for payroll; set up new employees and process employee changes via the online Employee Payroll Action system
Maintain and update the payroll system, including creating and editing position numbers, and ensuring all payroll functions are executed accurately and timely
Monitor and review biweekly timesheets and monthly leave/absence reports to ensure correctness and compliance with policies
Manage adjunct payroll processing, including semester-end reconciliation, and assist new and returning adjuncts with employment documentation
Provide training to new employees and supervisors on payroll system usage, and respond to inquiries related to paychecks, W-2s, and payroll policies
Process payroll changes related to leave corrections, timesheet adjustments, and compensation modifications; handle exception payments as needed
Oversee termination procedures, including processing final timesheets, payroll adjustments, and related documentation
Maintain spreadsheets tracking biweekly and monthly employees to ensure accurate labor and benefit distributions; input labor distribution changes as required
Update payroll-related spreadsheets for FMLA, PPL, and Federal Work Study programs each pay period
Assist with completing mandatory financial and statistical reports such as BDS, IPEDS, UDS, and remuneration data submissions
Maintain all personnel documents for grants and perform audits of timekeeping records to ensure compliance and accuracy
File, scan, and organize personnel and payroll documents systematically for audit readiness and operational efficiency
Respond to informational requests such as employment verifications, and provide data for payroll and account reconciliation purposes
Participate in mandatory training sessions and engage in professional development opportunities to enhance skills and knowledge
Perform other related duties as assigned by management to support the department’s functions and objectives
Qualification
Required
Associate's degree or higher, conferred on or before the start date
Minimum of four years of experience in an office support role
At least two years of experience specifically in payroll functions
Proficiency in handling large volumes of paperwork
Detailed data entry skills
Proficiency in office technologies such as Microsoft Office Suite, office machines, and internet applications
Strong interpersonal and communication skills
Ability to work independently and collaboratively
High level of integrity, professionalism, and discretion when managing confidential information
Preferred
Bachelor's degree
Experience working within a Human Resources or Payroll department, particularly with HRIS systems
