Office Coordinator, Simulation Center
Monmouth University is seeking applications for an Office Coordinator in the Linda Grunin Simulation Lab and Learning Center. The role involves managing the day-to-day operations of the simulation center, including greeting visitors, scheduling meetings, and maintaining documentation for accreditation purposes.

Responsibilities
Greet visitors, answer telephone, take messages, route calls and maintain message center. Refer callers/students to appropriate services for assistance
Order and inventory office supplies and simulation center equipment. Oversee purchases in the budget
Arrange and confirm meetings and appointments
Schedule necessary rooms, audio/visual equipment, other equipment and food service
Assist in managing simulation center's learning experiences
Compose, type and distribute meeting minutes, route mail, correspondence and reports; copy and fax
Maintain filing systems. Assist with the maintenance of addresses, communications, and calendar files. Maintain data base for all syllabi. Coordinate and maintain simulation center files and forms/documents
Collect, sort, and tabulate surveys. Maintain database for evaluations, survey results, and other information used for initial and ongoing accreditation and annual reports
Assist program to assure compliance with accreditation. Maintain and backup all documentation necessary for Self Study initially and ongoing. Assist in preparing for site visitation and annual reports using accreditation hard drive or cloud accreditation system
Assist with correspondence to students, faculty, and clinical partners. Assist with making phone calls to constituencies, agencies and schools
Process correspondence to students, faculty, and clinical partners, course syllabi, student-related forms, faculty related documents, and other items as needed
Interview, hire, and oversee student workers
Maintain Simulation Center schedules and deadlines
Assist with maintaining departmental website
Other duties and special projects as assigned
Qualification
Required
3 years of related experience
Must be able to utilize a variety of computer software programs in order to successfully complete assigned tasks
Excellent interpersonal, organizational and communication skills
Must be able to treat confidential and sensitive information appropriately
Must be able to operate a variety of office equipment
Basic Knowledge of MS Word 2016, Basic Knowledge of MS Excel 2016
Detailed-oriented and comfortable working in a fast-paced office environment
Resourceful, a good problem-solver and organized
Must be able to interact with students, University personnel, clinical partners and outside constituencies necessary
Must be able to handle multiple tasks simultaneously and effectively
Must be able to take direction, work independently, as well as function as a team player
Preferred
Experience in an educational setting
Familiarity with nursing/medical terminology
Scheduling, budgeting and financial reporting experience
Intermediate knowledge of MS Word 2016 and Excel 2016
Multilingual is helpful
