Executive Assistant

Responsibilities
Manage executive calendars, schedule coordination, and prioritization to support effective time management
Prepare for and support meetings, including organizing materials and ensuring follow‑up actions are tracked
Coordinate travel arrangements and process related expenses in alignment with company policies
Manage expense submissions and general administrative processes to ensure accuracy and timeliness
Support planning and execution of internal events, team gatherings, and department-wide initiatives
Draft, edit, and distribute internal communications to keep teams informed and engaged
Uphold discretion and confidentiality when managing sensitive information and executive communications
Help reinforce and influence a positive, inclusive, and collaborative team culture through consistent communication and support
Maintain and update internal sites, shared folders, and digital resources to ensure information is current and accessible
Assist with managing collaboration tools and access requests to support team operations
Keep organizational documents, such as reporting structures or workspace assignments, current and accurate
Contribute to learning, onboarding, or training programs by coordinating logistics and tracking participation
Support a variety of administrative projects that enhance departmental efficiency and organization
Apply risk and control awareness to daily tasks and escalate issues as appropriate
Qualification
Required
Work experience required
5 or more years' administrative and secretarial experience with 2 years supporting senior executives
Demonstrate excellent PC skills with proficiency in the use of Microsoft Office (e.g., Word, PowerPoint, Excel, MS Project Manager, Access) and e-mail/calendar software
Experience working with purchase orders, payments and employee management systems desired
Preferred
Bachelor's or Associate's degree preferred
