File Management Analyst
SHP Legal Services is an operating platform that helps law firms modernize service delivery through process excellence and technology enablement. The File Management Analyst supports the firm's legal matter lifecycle by coordinating the closure, archiving, and transfer of completed matters while ensuring compliance with firm policies and maintaining accurate records.
Responsibilities
Working as part of the central file management team, collaborating with finance, risk, support staff, partners, and fee earners to ensure an efficient matter closure
Gaining full knowledge of all aspects of the firm’s file closing policy and file transfer policy, ensuring full compliance when closing or transferring files
Liaising with relevant teams to close and archive completed matters and files in accordance with firm protocols
Supporting the partner and file onboarding process, including preparing files for movement into the firm’s document management solution, NetDocuments, and ensuring digital completeness from partner’s previous firms
Liaising with legal and support teams to create and maintain lists of completed matters requiring closure and/or transfer
Coordinating with the finance team to resolve ensure that all work in progress is cleared from the matter
Arranging and facilitating regular catch-up sessions with partners and fee earners to review matter status and finalize items ready for closure
Project managing the live tracker of all matters that need to be onboarded, closed or transferred, ensuring progress is monitored and issues are escalated as needed
Contributing to ongoing process-improvement efforts by identifying inefficiencies, recurring issues, or policy gaps and escalating them appropriately
Providing administrative support to the wider operations, file management, and legal teams as needed
Undertaking any other reasonable ad-hoc duties as requested
Qualification
Required
College degree strongly preferred
Experience with Microsoft Office
Strong verbal and written communication skills
Exceptional attention to detail and accuracy in all tasks
Strong organizational skills with the ability to prioritize, manage competing deadlines, and handle multiple tasks simultaneously
Resilience under pressure and comfort working in a fast-paced environment
A committed team player who contributes positively to shared goals and supports colleagues when needed
