Responsibilities

Provide direct administrative support to the Director of Service Modernizations, Modernization Sales, and Project Management teams
Maintain organized records of all modernization opportunities, orders, drawings, schedules, and customer communications
Support modernization team meetings by preparing agendas, distributing notes, and tracking action items
Monitor, log, and track all modernization RFQs, estimates, and orders
Coordinate with Engineering, Estimating, Purchasing, and Manufacturing to ensure timely quotation and order processing
Maintain real-time modernization opportunity and order status dashboards in CRM and NetSuite
Track all active modernization opportunities, awarded work, and backlog
Maintain CRM accuracy including scope documents, drawings, customer communications, and status updates
Support Sales and Project Managers with bid deadlines, scope reviews, and internal approval workflows
Act as liaison between Service Modernizations and Sales, Engineering, Service, Purchasing, and Manufacturing teams
Confirm timelines, material readiness, engineering release dates, and service schedules for all open modernization projects
Proactively identify and escalate risks, delays, or scope changes to leadership
Maintain tracking of modernization deliverables including drawings, equipment, controls, field service, and commissioning
Coordinate delivery and installation readiness with internal teams
Provide accurate status updates to Sales and Project Managers for customer communication
Compile and distribute weekly and monthly modernization reports including: RFQ and quote volumes, Backlog and revenue status, On-time engineering and delivery, Margin risk and issue tracking
Help standardize documentation, handoff forms, and communication processes across Sales, Engineering, and Service
Support implementation of digital tracking tools and dashboards for modernization operations
Other duties as assigned

Required

Undergraduate degree from an accredited college or university with a focus in Engineering, Business Administration, Construction Management, or a related discipline preferred
In the absence of a degree, directly related experience in overhead crane systems, electrical/mechanical sales, or industrial modernization may offset the degree requirement
Five or more years of experience in overhead crane systems, crane modernization, industrial equipment sales, or related technical field
Strong working knowledge of overhead crane electrical systems and controls
Strong working knowledge of mechanical crane components (hoists, trolleys, drives, brakes, wire rope, etc.)
Strong working knowledge of runway systems and crane-supporting structural interfaces
Demonstrated ability to identify, develop, and close technically complex projects
Ability to communicate effectively with shop floor personnel, engineers, and executive leadership
Demonstrated competency in Opportunity Assessment
Demonstrated competency in Project Scoping and Risk Evaluation
Demonstrated competency in Financial and Margin Analysis
Demonstrated competency in Project Management
Demonstrated competency in Negotiation
Demonstrated competency in Team Selling
Demonstrated competency in Technical Sales Presentations
Results-oriented, self-motivated, and disciplined with a strong sense of ownership
Proven ability to build long-term customer relationships
Experience using CRM systems for opportunity tracking and forecasting
Strong written and verbal communication skills
Demonstrated mechanical and electrical aptitude
Strong analytical, planning, and organizational skills
Ability to lift or pull a minimum of 50 pounds
Proficiency with Microsoft Office applications
Valid driver's license in good standing that meets company requirements
Must successfully complete criminal background check, physical, drug screen, and E-Verify
Demonstrate a personal commitment to preventing workplace injuries and promoting safe work practices
Read, understand, and support execution of all Mazzella health and safety programs
Reinforce expectations that all incidents and near misses are reported immediately
Participate in incident investigations and corrective action development as required
Ensure compliance with all applicable safety rules and regulations
Contact the Director of Safety when contacted by any regulatory agency
Identify and help mitigate workplace hazards
Support early return-to-work initiatives following work-related injuries
