Responsibilities

Coordinate and track academic projects, ensuring timelines, deliverables, and objectives are met
Maintain accurate records for disclosures, contracts, and project documentation
Prepare, revise, and submit scientific manuscripts, abstracts, and presentations for conferences and publications
Manage the Director’s complex calendar, meetings, and travel, ensuring alignment with project priorities
Organize logistics for initiatives involving the Director, preparing agendas, briefing materials, and follow-up documentation
Review and prioritize incoming communications, handling routine matters independently and escalating urgent issues appropriately
Support procurement and Academic Research Organization (ARO) agreements related to academic projects
Utilize advanced computer skills to manage digital workflows, databases, and collaborative platforms
Leverage social media and digital tools to support Director’s academic visibility
Apply resourcefulness and independent problem-solving to overcome challenges and ensure project success
Performs other related duties

Required

Bachelor's degree required (preferred in a science-related field, e.g., biology, chemistry, public health, or related discipline), or equivalent education and work experience
None required, 3+ years of experience providing executive-level support or project coordination, preferably in healthcare, academic medicine, or research preferred
Exceptional writing and editing skills, with experience preparing scientific manuscripts and presentations
Advanced proficiency in Microsoft Office Suite and familiarity with project management tools, digital workflow systems, and social media platforms
Proven ability to manage multiple priorities and projects in a high-volume, deadline-driven environment
Strong verbal communication skills; able to synthesize complex information for diverse audiences
Demonstrated ability to work independently, exercise sound judgment, and maintain confidentiality
Meticulous attention to detail, resourcefulness, and commitment to accuracy in all aspects of work
