Office Support Assistant III

The University of Missouri-Saint Louis is seeking an enthusiastic Office Support Assistant III to provide essential office support for the departments of Music and Art + Design. This role involves a variety of administrative tasks and requires strong interpersonal skills to assist faculty, staff, and students in an academic setting.

Responsibilities

Creates a positive and welcoming front office environment by greeting visitors, giving directions, answering questions via telephone, virtually (Zoom or Teams), email, or face-to-face
Provides general faculty and student support, including faculty textbook requests, photocopying, receiving and delivery of packages, key requests, travel arrangements, assisting with course scheduling changes, ordering office supplies, and acting as the sole purchasing liaison for the UMSL Music and Art + Design departments
Writes and sends general office correspondence, assists with drafting formal business letters
Works with UMSL Facilities to schedule building maintenance (submits work orders), equipment installations, and meals for events, meetings, and programs
Works with UM Shared Services or within existing systems to process departmental credit card reconciliations, travel reimbursements to faculty and students, and payment processing via vouchers, purchase orders, requisitions, and credit card
Provides clerical support to the department Chairs, Business Support Specialists, and Directors
Assists with providing training and supervision for student workers
Prepares, processes, and maintains appropriate records, files, reports, and information
Coordinates with the Touhill Performing Arts Center to schedule UMSL Music courses and events
Assists with on campus moves
Completes other projects and duties as assigned

Required

High school diploma or equivalent
At least 3 years of experience from which comparable knowledge and skills can be acquired
Authorized to work in the United States
