Responsibilities
Serve as the primary point of contact for scheduling and managing meetings for Development Program Managers, including governance meetings and cross-functional team discussions
Proactively manage meetings and ensure scheduling conflicts are resolved promptly. Act as a liaison to coordinate availability across cross-functional teams and stakeholders
Distribute meeting agendas, ensure all necessary materials are prepared and available, and manage related documentation
Track and coordinate follow-up actions from meetings to ensure timely completion
Maintain program contact and distribution lists and ensure SharePoint sites and other relevant systems are updated with current information
Assist the DPM team with additional tasks as needed to streamline operations
Other duties as assigned
Qualification
Required
Bachelor's Degree with 2+ years of relevant experience or an Associates Degree with 4+ years of experience
Strong written and verbal communication skills with the ability to interact effectively across all levels of the organization
Exceptional organizational skills with the ability to prioritize tasks, multitask, and maintain attention to detail in a fast-paced environment
Demonstrated ability to handle confidential information with discretion
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Experience with SharePoint or similar collaboration tools
Ability to learn new technologies and systems quickly and effectively
A quick learner who can adapt to change and handle uncertainty with guidance
Self-motivated and capable of performing tasks independently while keeping team members and leadership informed of progress and obstacles
