Responsibilities

Assist with event logistics, including attendee maintenance, vendor coordination, sourcing, ticket/payment tracking, material creation, and printing
Support meeting preparation such as scheduling, packing/unpacking materials, shipping items, ordering meals, and ensuring all necessary supplies are arranged
Provide onsite or local execution support when needed
Assist with AP/AR functions, including payment invoices, processing check requests, and preparing deposits in collaboration with the Event and Finance teams
Monitor shared team inboxes and voicemail systems, providing timely responses, routing communications appropriately, and ensuring a professional tone
Assist with the development of presentations, reports, and meeting materials
Support the Contract Manager with vendor-related tasks
Help plan and coordinate team outings, celebrations, and engagement activities alongside the Team Planner
Conduct miscellaneous vendor research and sourcing for upcoming events or team needs. Provide recommendations, and coordinate with team members as needed
Work with the Event Operations Team to review, update, organize, and streamline internal team policies, process documentation, and reference materials
Partner with the Team Coordinator to provide inventory tracking, supply ordering, and restocking. Help ensure the team has the materials and resources needed for daily operations
Thrive in and contribute to a team environment, offering collaboration and assistance on a variety of clerical/administrative functions
Perform other duties as requested

Required

Bachelor's degree in Hospitality, Marketing, Business, or Communications preferred and/or 1-2 years of previous Corporate Event or Administrative Experience requested
Proficient computer skills including the MS Office Suite, specifically Word, Excel, Outlook and PowerPoint. Experience using mail merges and utilizing databases is required. Ability to learn basics within specific industry software
Independent self-starter with ability to tolerate peak workloads, multiple assignments and produce results with accuracy and reliability while demonstrating a calm demeanor in stressful situations
Excellent organizational skills - ability to prioritize daily workflow to effectively meet deadlines
Comfort in taking on new projects, supporting team members and accepting changes without notice or with very short notice, often requiring urgent action and poise; a 'can do' attitude
Excellent grammar, editing and proofing skills required; attention to detail a must
Demonstrates strong aptitude for professional interactions
Strong commitment to provide exceptional customer service. Requires strong verbal and written communication skills and the ability to interact with internal and external clients
Ability to work independently and in the Milwaukee office 2-3 days a week or as needed
