PROGRAM MANAGER ACADEMIC AFFAIRS & INNOVATION / EXECUTIVE ASSISTANT

Responsibilities
Coordinates inquiries related to the SREB Academic Common Market and Regional Contract Program, including providing guidance to applicants and processing/tracking Louisiana residency applications
Plans and executes logistics for Academic Affairs & Innovation initiatives and events (e.g., Meauxmentum Summits, Corequisite Academies), including venue coordination, agenda preparation, participant communication, and on-site support
Produces and manages meeting materials and provides administrative support—including set up, agenda preparation, and minute taking—for committees, councils, and advisory groups such as: Statewide Articulation and Transfer Council, Postsecondary Inclusive Education Advisory Council, Postsecondary system leadership meetings, Postsecondary system data advisory team
Coordinates the development, proofing, and delivery of Academic & Student Affairs Committee Board documents, including monitoring deadlines, reviewing presentation materials, and supporting website updates for agendas and documentation
Develops, monitors, and maintains division contracts, working with Finance and Sponsored Initiatives to assist with contract language, payment schedules, and award documentation related to Academic Affairs initiatives
Develops and maintains division and unit records, including reports, institutional documentation, meeting materials, personnel files, schedules, timesheets, and other business records
Maintains division website(s), ensuring content accuracy, posting updates, and recommending improvements
Coordinates the production and delivery of Board materials and assists with ensuring accuracy, consistency, and timely publication
Manages the Deputy Commissioner’s calendar, including scheduling, prioritization, and preparation of materials for meetings, speaking engagements, and internal/external events
Plans and coordinates travel for the Deputy Commissioner, including booking arrangements, preparing itineraries, and managing travel documentation
Serves as primary point of contact for internal and external inquiries directed to the Deputy Commissioner and the division, ensuring timely response and prioritization of communications from government officials, educational institutions, and community partners
Supports division staff with scheduling, meeting coordination, correspondence, and travel documentation
Provides back-up support to the Executive Assistant to the Commissioner and the Board, as needed
Qualification
Required
Baccalaureate degree in any field
Working with or within postsecondary environments
Familiarity with contract management and procurement processes
Experience in editing and updating web content
Preferred
Master's degree in higher education related field
