Program Coordinator

TapestryHealth is seeking a Program Coordinator to join their team, where they will support patient monitoring and care plan recommendations. The role involves managing weekly shift schedules, facilitating communication among team members, and providing administrative support to ensure effective scheduling processes.

Responsibilities

Create and post weekly open shifts into a scheduling system
Monitor and adjust schedules as needed to accommodate changes
Send out reminders for scheduled meetings
Provide administrative support as needed to ensure efficient and effective scheduling processes
Facilitate and lead meetings to ensure effective communication and collaboration among team members
Maintaining regular contact with newly established groups to discuss and review progress
Answer scheduling queries via email and phone
Document scheduling processes and keep thorough records
Perform Other Administrative Tasks When Required
Making sure there are effective communication channels to keep the group organized
Assist Program Manager with daily scheduling to ensure there is adequate coverage of staff to meet the volume
Communicate with staff and management on shift cancelations, staff issues, etc
Maintain users in scheduling system and Tapestry Health tools; provide access and handle new contractor setup within systems and tools
Serve as staff point of contact to troubleshoot routine day-to-day problems related to staff scheduling system
Review time clock records weekly to prepare for program manager approval and payroll processing
Utilize reporting tools to process reports on staff productivity, service hours, and quality
Collaborates with manager to continuously improve the program, processes, and tools
Protect patient information and adhere to standard of confidentiality with all patient information; ensures all independent contracts adhere to same data privacy requirements

Scheduling experienceMicrosoft Office proficiencyCommunication skillsOrganizational skillsAttention to detail

Required

High School Diploma/GED or higher
1+ years of scheduling experience, medical practice preferred
Excellent communication and organization skills
Demonstrate intermediate level proficiency in Microsoft Office
