Accounts Payable Specialist
Nichols Contracting, Inc. is a family-owned construction and contracting business based in Columbia, MD. They are looking for a detail-oriented Accounts Payable Specialist to manage vendor invoices, process payments, and ensure accurate financial records within their accounting team.
Responsibilities
Accurately review, verify, and process vendor invoices, credit card transactions, and expense reports
Reconcile vendor statements and resolve any discrepancies
Ensure compliance with company policies, contract terms, and regulatory requirements
Set up new vendors and maintain accurate records of W-9s
Assist in month-end and year-end closing procedures by reconciling accounts payable transactions
Communicate with vendors and subcontractors to resolve billing issues and discrepancies
Work closely with project managers, project accountants and procurement teams to ensure proper job costing
Generate accounts payable reports, aging reports, and financial summaries as needed
Identify opportunities for process improvements and help implement best practices in accounts payable functions
Qualification
Required
Detail-oriented and organized
Strong understanding of construction-related expenses
Job costing experience
Compliance with industry regulations
Accurately review, verify, and process vendor invoices, credit card transactions, and expense reports
Reconcile vendor statements and resolve any discrepancies
Ensure compliance with company policies, contract terms, and regulatory requirements

5+ years of accounts payable experience
Proficiency in accounting software (e.g., Sage, Foundation, CMiC, Accumatica, Viewpoint, or similar)
Excellent attention to detail, problem-solving skills, and organizational abilities
Ability to work independently and meet deadlines in a fast-paced environment
Strong communication and interpersonal skills
Ability to independently ascend and descend stairs
Ability to independently reach, twist and bend
Ability to independently remain stationary for extended periods of time
Utilize phone and computer
Preferred
Associate's degree in Accounting, Finance, or a related field
