Customer Service Representative – Order Entry Specialist

The Customer Service Representative – Order Entry Specialist acts as a vital link between customers and internal teams, focusing on accurate order entry, proactive communication, and problem-solving to ensure smooth order processing.

Responsibilities
Serve as a key contact point supporting CSRs in addressing customer needs, clarifying order details, and ensuring requests are handled promptly
Communicate ship dates, job status, job changes, price updates, and discrepancies to CSRs to ensure timely customer updates
Respond to inquiries from manufacturing, prepress, scheduling, and shipping, relaying accurate information back to CSRs and customers as needed
Communicate potential order or inventory issues promptly to customer service to ensure proactive customer engagement
Accurately enter new customer orders and releases into PSI and ERP systems
Review incoming orders for completeness and correctness against estimates, job plans, and purchase orders
Create and maintain Job Pockets, ensuring all required documentation is accurate, complete, and updated when changes occur
Perform purchase order–to–scheduled job confirmation reviews
Generate and distribute daily Open Order Reports to Plant Leadership before Production Meetings
Monitor open jobs daily and provide updates to internal teams and customer service
Produce and share daily new PO reports
Track customer invoices and prepare data for monthly rebate calculations
Gather customer‑requested data and generate reports for CSRs or sales
Prepare customer billing packets and scan invoices daily for corporate billing
Highlight invoices for designated customers and ensure accurate documentation submission
File completed Job Pockets/job folders daily
Assist CSRs and sales with special projects
Back up the Shipping Coordinator by providing customers with Open Order Reports when required
Provide rotational lunch break front desk coverage and serve as backup for the Front Desk Coordinator/Receptionist
Support initial steps in resolving quality issues and document findings
Participate in quality and process improvement initiatives
Proactively pursue professional development and continuous skill enhancement
Qualification
Required
High school diploma or GED required
Excellent customer interaction skills: strong communication, professional demeanor, and positive phone presence
Proficiency in Microsoft Word, Excel, and Outlook
Strong attention to detail and accuracy in data entry and documentation
Effective time-management: ability to multi-task, prioritize, and meet deadlines
Ability to work both independently and collaboratively
Ability to maintain clear visibility into all open jobs and ongoing customer commitments
Primarily a desk/computer‑based role; able to sit for extended periods
Occasional walking, bending, reaching, and lifting up to 40 lbs
Preferred
Post-secondary education preferred
Experience in customer service, printing, or manufacturing environments helpful
Computer training or related administrative experience preferred
