Responsibilities

Assist with accounts payable and accounts receivable processing in QuickBooks Online
Reconcile monthly bank, credit card, and vendor statements
Support the CFO in preparing monthly financial reports, budget tracking, and grant-related financial documentation
Maintain accurate financial records in accordance with nonprofit standards and audit requirements
Help prepare data and documentation for the annual audit and Form 990 filing
Assist with donation processing, including issuing donor acknowledgments and maintaining contribution records
Track and allocate restricted vs. unrestricted funds as directed by the CFO
Enter journal entries and maintain clean, organized general ledger records
Serve as a primary point of contact for vendors, partners, and internal staff for administrative matters
Support facility and office management, including supply ordering and vendor coordination
Assist with onboarding logistics for new staff (paperwork, systems access, general orientation)
Maintain organized digital and physical filing systems
Support event logistics, board meetings, and other internal program needs
Manage calendars, scheduling, meeting preparation, and general correspondence
Draft and format documents, reports, and communications as needed
Provide administrative support to the CFO and leadership team
Help streamline organizational processes to improve efficiency across departments

Required

4+ years of administrative, accounting, or operations experience (nonprofit experience preferred but not required)
Familiarity with QuickBooks Online
Strong organizational skills with the ability to prioritize multiple projects
Comfortable working both independently and collaboratively within a small team
Detail-oriented, resourceful, and proactive problem solver
Strong communication skills and a customer-service mindset
Proficiency in Microsoft Office and/or Google Workspace
