Responsibilities

Places client food orders with meal provider(s). Modifies menu orders as requested by clients
Tracks and records food inventory levels on routine basis and maintains food inventory logs including returned meals
Coordinates the receiving and packing of meals for distribution by the volunteers and drivers
Maintains up-to-date route sheets to include cancellations, changes, and additions of clients. Handles client calls, emails, changes, and complaints and takes appropriate steps to resolve problems, questions, and concerns. Communicates solutions or requested information with clients and completes all recording, tracking, and reporting of these interactions. Escalates unresolved concerns to the director
Follows up with clients missing a scheduled meal and coordinates with the client to redeliver the meals. Updates meal units on ServTraker when client is not at home or if there are changes on delivery schedule. Reports issues and concerns to Billing Specialist for follow up
Collects and reviews all returned route sheets and reports any non-deliveries daily. Prints route sheets and prepares for next day delivery
Answers and responds to incoming inquiries by telephone, email, and fax during scheduled business hours in a professional and timely manner. Serves as administrative support by answering the main phone during scheduled business hours
Collaborates with the Billing Specialist to follow up on outstanding claims, resolve payment variances, submit technical appeals, and ensure timely reimbursement
Assists in the preparation, review, reconciliation, and processing of monthly billing and payments from all funding sources, including but not limited to Deupree Meals on Wheels and ERS Swipe ‘N’ Dine programs
Assists in the review of denied, delayed, or underpaid claims to identify discrepancies and determine causes of payment issues
Assists with Swipe ‘N’ Dine client registration forms monthly
Provides general administrative support, including data entry, documentation, record keeping and filing, copying, scanning, and mailings as needed
Assists in the preparation of materials for grants, requests for proposals (RFPs), contracts, and ongoing Council on Aging (COA) audit preparation throughout the year and as needed
Fulfills other duties as deemed necessary and appropriate
Supports Meals on Wheels Director and team members with special projects and operational needs
Provides coverage and assistance to team members as needed to ensure continuity of program services by completing various tasks and filling in as needed

Required

High school diploma or equivalent
Minimum of two years general office, administrative, and customer service experience
Must possess a valid driver's license, reliable transportation, and appropriate insurance coverage
Strong computer skills required with high proficiency in Microsoft Office required including Excel, Word, and Outlook
Good understanding of office equipment functions (i.e., copier, printers, fax, etc.)
Excellent organizational, analytical, and problem-solving skills with strong attention to detail and time management
Works well in environment with firm deadlines and is results oriented
Functions independently with flexibility and integrity, as well as effectively and harmoniously with team members, clients, family members, volunteers, government agencies/personnel, and the general public in a fast-paced work environment
Exceptional written and verbal communication skills
Able to read, write, and understand the English language and speak the language in an understandable manner
Possess sight/hearing sense or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met
Moves equipment and supplies weighing up to 25 lbs on a regular basis and up to 50 lbs occasionally
Able to maintain regular attendance; work will be performed at the office and participating locations
Fully up to date with required vaccinations

Provides outstanding customer service to all customers in accordance with ERS's expectations and values
