Administrative Coordinator SMSC Business Council

The Shakopee Mdewakanton Sioux Community (SMSC) is seeking an Administrative Coordinator to provide high-level, diversified, and confidential administrative support to the Business Council. This role involves managing communications, coordinating meetings, overseeing licensing operations, and providing logistical and operational support for various programs and events.

Responsibilities

Serve as the primary point of contact for all incoming phone calls, correspondence, and inquiries directed to the Business Council. Manage communication flow efficiently and professionally, ensuring timely responses and follow-ups
Maintain organized and up-to-date records and files for all correspondence (incoming and outgoing) related to the Chairman, Vice-Chairman, and Secretary/Treasurer
Upload and manage files and official documents within the Business Council portal, ensuring accuracy, confidentiality, and accessibility
Oversee office supply inventory and procurement. Coordinate the maintenance and servicing of office equipment to ensure operational readiness
Facilitate internal and external communications on behalf of the Business Council, particularly in relation to meeting logistics, materials preparation, and attendance coordination
Prepare PowerPoint presentations and compile related documents for Business Council meetings. Work closely with Council members to coordinate content and ensure readiness
Contribute to the development of meeting agendas and related materials, including sign-in sheets, uploading agenda items to the portal, distributing official Council actions, and assisting with preparation and documentation of meeting minutes
Coordinate the scheduling and preparation of pre-meeting packets, talking points, and briefing materials. Maintain calendars and schedule meetings and appointments for Business Council members and staff
Manage conference and training registrations for all Business Council members. Coordinate comprehensive travel arrangements, including flights, ground transportation, accommodations, and itineraries
Exercise administrative oversight of the SMSC alcohol and tobacco licensing operations. This includes generating annual license certificates for authorized vendors and ensuring compliance with regulatory and procedural requirements

Required

Any combination of post-secondary education and experience in Office Administration, Business, or related field to equal five years
Advanced proficiency (ability to create and develop complex files and reports) in word-processing, spreadsheets, meeting presentations, database, and electronic mail software. May include software for on-line purchasing, HRIS or other job-specific software
Ability to type 50 WPM
The ability to communicate information and ideas in written and spoken English so others will understand
Must work in a fast pace and confidential setting
