Project Coordinator

Responsibilities
Drive Project Execution: Lead the operational coordination of multiple concurrent projects across various teams to ensure seamless execution
Proactive Milestone Monitoring: Track project timelines and milestones to identify potential gaps and ensure all deadlines and goals are met
Own the Documentation Lifecycle: Manage project scheduling, task tracking, and the quality control of critical documentation, including contracts, reports, and client deliverables
Synchronize Multi-Disciplinary Workflows: Facilitate communication and streamline workflows between field, lab, and office staff to eliminate project bottlenecks
Strategic Communication Management: Author and distribute meeting agendas, status updates, and critical project communications to internal and external stakeholders
Partner with Finance & Accounting: Collaborate with internal teams to manage project billing, accurate timesheet tracking, and efficient invoice processing
Qualification
Required
Associate's or Bachelor's degree in Business, Project Management, or a related field preferred
2+ years of experience in project coordination, administrative support, or operations within a technical or service-based industry
Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams); experience with project management software (e.g., MS Project, Smartsheet, Monday.com) is a plus
Excellent verbal and written communication skills
Ability to work both independently and collaboratively in a fast-paced environment
Preferred
Familiarity with engineering, construction, or environmental services terminology and workflows is preferred
