Responsibilities
Act as a trusted partner to the executive(s), anticipating priorities and proactively managing workflows
Prepare briefs, decision memos, and summaries that highlight risks, trends, and action items—not just notes
Track initiatives, deadlines, and follow-ups to ensure execution and accountability
Use AI tools (e.g., ChatGPT, Notion AI, Otter, Fireflies, automation tools, etc.) to:
Draft communications, reports, and presentations
Analyze information and surface insights
Automate repetitive tasks and improve efficiency
Continuously evaluate and recommend new tools, workflows, and systems to improve productivity
Design and maintain organizational systems for documents, projects, and communications
Create repeatable workflows for meetings, reporting, and executive decision-making
Identify inefficiencies and independently implement improvements
Serve as a central point of coordination across teams, vendors, and stakeholders
Draft and manage executive communications with clarity, discretion, and strong judgment
Ensure alignment and follow-through across cross-functional initiatives
Handle sensitive information with discretion and professionalism
Exercise strong judgment when prioritizing requests and escalating issues
Qualification
Required
5+ years of experience supporting senior leaders in a tech, startup, or fast-paced environment
Strong working knowledge of AI tools, automation platforms, and modern productivity software
Exceptional written and verbal communication skills
Highly proactive—anticipates needs rather than waiting for direction
Strong systems thinker who enjoys building order out of complexity
Comfortable working independently and making informed decisions
High emotional intelligence and ability to manage multiple priorities
